Job Description SummaryEXPECTATIONS AND NATURE OF THE POSITION

The Public Relations Specialist is an integral part of the College-wide communications effort and is responsible for public information, and other aspects of the activities and events. This person promotes awareness and support for Western and its programs, services, key qualities, resources, successes and achievements among external and internal publics. The Specialist will help to shape a positive, accurate image to external publics such as local media, prospective students, schools, employers, agencies, community groups and taxpayers and will help to assure branding is maintained.

The Specialist is primarily responsible for designing and monitoring a system whereby public information and publicity pertinent to Western is gathered, prepared, released and communicated in a timely manner. This employee plays an integral role in the college internal communications effort and serves on the Emergency Response Team. Relationship building and in-depth knowledge of the communities the College services is critical.

The College expects this individual to accomplish assigned duties in an efficient, effective and competent manner and to strive for improvement and excellence in all work performed. In addition, this individual must understand the comprehensive role of the community college and cooperate and work harmoniously with college personnel and the public. This individual will follow all college policies, rules, regulations and guidelines as they relate to this position.

PRIMARY DUTIES AND RESPONSIBILITIES FOR WHICH THIS INDIVIDUAL IS ACCOUNTABLE

1. Coordinates, prepares, and distributes Western news releases and public service announcements. Maintains policies and procedures related to developing and distributing releases.

2. Coordinates digital photographs and quotes to accompany print news releases and social media applications.

3. Supports the President in communications as the main Spokesperson and main College information dissemination such as Wikipedia, search engine descriptions, and Wyoming Community Colleges Commission communications.

4. Organizes, composes and distributes calendars of events throughout the year on the College calendar, local calendars, statewide calendars, etc.

5. Develops and cultivates good working relationships with media in the Western service area which result in appropriate media coverage of the College and its programs, events, activities, personalities and accomplishments.

6. Ensures that timely information, press releases, etc. are posted to the website and social media as needed.

7. Builds communication pieces and tactics to increase blog article submissions and viewership.

8. Coordinates with the Community Relations office to assure events are well publicized.

9. Maintains and oversees the employee monthly digital newsletter.

10. Conducts regularly scheduled meetings with School Chairs for program showcases, blog articles, and faculty storyboards for media coverage.

11. Organizes annual or periodic activities in appreciation of the various media and their ongoing efforts on behalf of Western.

12. Assists the Community Relations office with coordinating a variety of special promotional activities and college events.

13. Keeps abreast of innovative and effective public information tactics implemented by other community colleges, google alerts, organizations and businesses and actively engages in professional development and educational activities designed to increase job knowledge and performance.

14. Adheres to college marketing standards.

Other Duties

15. Maintains an inventory of all assigned equipment and supplies and takes prudent measures to safeguard Western physical resources from unauthorized use.

16. Understands the budgeting and requisition process of the college. Assists with preparing annual and biennial budgets as requested; understands and is able to use the purchase requisitions process.

17. Performs other duties as assigned.

Minimum QualificationsMINIMUM QUALIFICATIONS (Knowledge, Abilities, Education and Experience)

1. Three years of progressively more responsible experience in a marketing or public information setting.

2. Ability to communicate effectively, both verbally and in writing.

3. Experience writing news releases and working with various media, as well as some knowledge of Associated Press style and the nature and requirements of good journalism.

4. Ability to efficiently use computer software, including word processing and desktop publishing software and a digital camera.

Equivalency Statement

For those candidates who do not meet all the minimum qualifications, an equivalent combination of education and experience which has provided comparable knowledge and abilities will be acceptable.

Preferred QualificationsPREFERRED ADDITIONAL QUALIFICATIONS (Knowledge, Abilities, Education and Experience)

1. Bachelor’s degree in Marketing, Business, Communication or a related field.

2. Three years of experience in marketing, public information or public relations in an education setting.

3. Photography experience.

4. Previous experience at the community college level.
