A Vacutech Project Administrator works closely with internal stakeholders (Sales, Project Managers, Key Accounts Manager, Fulfillment, etc.) to secure and maintain Project documentation to support Project objectives and meet customers’ expectations in as efficient of a manner as possible for the organization while upholding the department and Vacutech’ s stated values and goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Maintains Project documentation and Production plan documentation with accurate status, value, and configuration.

  • Work directly with Project Managers to ensure Position Objective is achieved in as efficient of a manner as possible for the organization.

  • Schedule and coordinate pre-production meetings tracking and managing action items.

  • Coordinate Project documentation including Project Forms, Invoicing, etc. to meet Position Objective.

  • Attend Production Meetings.

  • Maintains up-to-date awareness of company activities, industry trends and government regulations

  • Prepare and deliver invoices to Customers, receive payments per payment terms, record and direct payments (checks) to accounting

  • Prepare and submit NAFTA documentation for shipments to Canada and Mexico

  • Confirm Installation and Awning completion and coordinate invoicing for these products and services

  • Support Hodge Equipment activities including Pick Ticket creation and Invoicing using Businessworks software
