JOB SUMMARY

Provides general administrative support for the Facilities department as well as facilitates ongoing compliance efforts in accordance with Joint Commission Environment of Care standards and the SMH Emergency Management program requirements. As a member of the emergency management committee, organizes meetings and documents related activities; coordinates disaster preparedness, response, and recovery plans for SMH. Assists SMH compliance with both state and federal regulations for disaster preparedness. Assists the Facilities Services department with budgeting, purchasing, and documentation requirements.

ESSENTIAL DUTIES/RESPONSIBILITIES

Professional administrative support

  • Maintains practical record keeping system used to document all department-related documentation and regulatory compliance requirements, including Joint Commission standards. Ensures timely and accurate record-keeping policies and standards are met.
  • Audits recordkeeping as needed; provides recommendations for improvements as needed.
  • Functions as an information source on Facilities activities, work order status, etc.
  • Documents and updates information Facilities work order system on a timely basis including action items/issues logs/escalations.
  • Compiles and formats information into graphs and spreadsheets.
  • Assist with data entry and distribution of reports.
  • Assist with scheduling related to Quality Services.
  • Orders equipment and supplies.
  • Assists with regulatory compliance requirements especially as relates to the Environment of Care (safety, infrastructure, and environment).
  • Composes and types routines correspondence ( requires knowledge of department operations and regulations)
  • Provides regular reports to Facility Services Supervisor and Director of Facilities Services.
  • Works with the Quality Department, keeping them abreast of potential compliance exposures.
  • Maintains policy and procedures manuals.
  • Sorts mail, completes routine correspondence, closes bi-weekly department payroll; provides other routine administrative support.

SMH Emergency Management program

  • Works with the Emergency Preparedness committee to facilitate, implement, maintains and exercise an effective business continuity plan that strives to reduce the possibility that SMH operations interrupted in the event of a disaster.
  • Schedules meetings, prepare agendas, and distribute pertinent reports, policies, and correspondence.
  • Attends meetings and activities and records minutes, as needed. Ensures routing and follow-up of actions/issues to appropriate persons/committees; documents activities falling under Facility Services scope of responsibility.
  • Reviews Emergency Management plans, procedures; makes recommendations for revisions.
  • Assist in creating, reviewing, revising Emergency Preparedness relative topics, departmental and hospital- wide policies and procedures.
  • Assists in conducting risk and threat assessments for disaster preparedness.
  • Coordinates hospital – wide emergency training and emergency management drills. May assist in delivering training to all employees.
  • Assists in creating the Emergency Management Plan (EMP), including the Hazard Vulnerability Analysis (HVA)
  • Assist SMH in procuring appropriate equipment and supplies according to the EMP and HVA.
  • Assist in liaison activities with Emergency Preparedness partners, local, regional, and state.
  • Assist in creating reports to SMH senior leadership and Board of Trustees of Emergency Preparedness activities on a regular basis.
  • Monitors, reviews and creates response to changes in the requirements by following up with appropriate areas to ensure required changes are implemented.

MINIMUM REQUIREMENTS

Education / Experience / License and Certifications

  • Associate’s Degree in general studies, business or related field, preferred.
  • Experience in Emergency Preparedness desired.
  • ICS certifications 700, 100, 200 preferred.
