JOB SUMMARY

Responsible for facilitating the approval process for policies, procedures, and forms, in addition to maintaining the library of these documents and functioning as a source of information regarding policies, procedures, and forms. Assists with data entry and distribution of quality related reports, as well as compiling and formatting information into graphs and spreadsheets. Coordinates and records Quality Council Meetings. Provides support to the Quality and Case Management Departments under the direction of the Quality and CM Director. Assists with data entry development of Utilization Management reports. Responsible for facilitating ongoing Professional Physician Evaluation (OPPE) processes.

ESSENTIAL DUTIES/RESPONSIBILITIES

  • Maintain online policy, procedure, and form system for real-times access.

  • Prepare and facilitate approval of all hospital policies, procedures, and forms.

  • Function as an information source on organization policies and procedures.

  • Document and update information into associated system on a timely basis including action items/issues logs/escalations.

  • Compile and format information into graphs and spreadsheets.

  • Assist with data entry and distribution of quality related reports.

  • Maintain policy, procedure, and form library.

  • Adhere to strict confidentiality and information privacy requirements.

  • Schedule meetings, prepare agendas, and distribute pertinent reports, policies, and correspondence.

  • Attends meetings and activities and records minutes, as needed. Ensures routing and follow-up of actions/issues to appropriate persons/committees.

  • Assist with scheduling related to Quality and Case Management services.

  • Possess knowledge of computer software programs related to Quality Services, such as Excel, Word Processing, ComplyTrack, and MediRegs.

  • Knowledge of computer programs related to data collection such as Excel, Access, Word Processing, Comply Track and Data Bases.

  • Order equipment and supplies.

  • Maintain high standard of professional conduct and appearance.

  • Manage the credit card statements.

  • Close payroll for the Quality and Case Management departments.

  • Perform all other duties as assigned by the Quality and CM Director.
MINIMUM QUALIFICATIONS

    Education / Experience / License and Certifications

    • High school diploma or general equivalency diploma (GED), required.

    • Associate Degree in Business, preferred but not required.

    Additional Skills

    • Strong analytical, summarization, conceptualization, and prioritization skills.

    • Ability to work independently with minimal supervision and within tight deadlines.

    • Ability to manage rapidly and frequently changing priorities.

    • Ability to communicate and interact effectively with all levels of management.

    • High level proficiency of Microsoft Office Products (Word, Excel, PowerPoint).

    • Exceptional customer service orientation.

    • Excellent verbal and written communication - including interpersonal & relationship building skills.
