Description:

The Executive Assistant is responsible for performing a high level of executive/administrative support functions for the CEO, to include:

  • Providing administrative support functions for the Board of Directors as directed

  • Providing direct supervision to administrative support staff in Johnson and Sheridan Counties

  • Preparing reports and documents utilizing spreadsheets, databases, or applicable computer system applications

  • Conducting research, compiling data, and preparing reports for consideration and presentation by or for executives, committees, Advisory Board, and Board of Directors as directed

  • Attending meetings as assigned, recording proceedings and preparing draft minutes

  • Performing general office duties, such as ordering supplies, preparing work orders, and maintaining records management database systems

  • Organize and/or assist in the preparation, submission, and monitoring of State contract and funding applications, grant applications, site review documents, and other reports and releases aaccording to established schedules as directed

  • Assure confidentiality is maintained in all written and verbal communications and dissemination of information

  • Demonstrate flexible scheduling to meet needs of the Executive Director, organization and the County offices served

  • Assure the application of, and adherence to, all safety standards and requirements of the agency

  • Understand and apply the principles of diversity in all interactions with office personnel, clients, and the general public

  • Maintain confidentiality in all interactions related to the agency, i.e., any records or client related information

  • Assure availability to actively participate in staff meetings, agency meetings, scheduled supervision, and performance review processes

Qualifications and Skills: Qualifications include a high school diploma, or equivalent, with a minimum of three (3) years performing high level executive/administrative support functions, one year of which included direct supervision of administrative support staff. Excellent skills in written and verbal communication are required, as well as advanced proficiency in computer applications.

Hours:

Hours generally are from 8:00 a.m. - 5:00 p.m., Monday - Friday.
