Summary/Objective

The Administrative Assistant is the first point of contact at the VOANR Administrative office and provides support to visitors, clients and employees. This position is primarily responsible for answering phones, greeting visitors, and performing administrative support tasks.

Essential Functions

  • Maintain an awareness of the activity in the Administrative Office to direct incoming visitors and communication.

  • Answer multi-line telephones, direct telephone traffic, draft and respond to email, perform general receptionist duties.
  • Greet internal and external customers.
  • Create ID badges and business cards for all staff.
  • Sorting and distributing mail.
  • Ordering office supplies for administrative staff and mail room

  • Maintain Board and Staff meeting room schedules.
  • Order and maintain kitchen & office supplies as needed.
  • Maintain the upkeep of the kitchen and ensure all food and beverages are stocked.

  • Assist with special projects and activities.
  • Providing support to the HR Department
  • Provide support for lunch meetings, business meetings, and special events.
  • Faxing and scanning HR information.
  • Assist Outreach in scheduling appointments and providing applications to clients.

Supervisory Responsibility

This position has no direct supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, photocopiers, and smartphones.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and ability to adjust focus. This would require the ability to lift files, open filing cabinets, and bend or stoop as necessary.

Position Type/Expected Hours of Work

This is a full-time or part-time status dependent on the need of the position. For part-time status, days and hours of work are generally Monday, Wednesday, and Fridays, 8:00 a.m. to 5 p.m.

Travel

Little to no travel expected for this position.

Required Education, Experience or Eligibility Qualifications

  • High School diploma or equivalent

  • One-year experience in Administrative related work

  • Proficient in Microsoft Suite

Preferred Education and Experience

  • Associates degree

  • Two years' experience in similar Administrative work
