JOB DESCRIPTION

POSITION TITLE: MOUNTAIN SPORTS SCHOOL ADMIN COORDINATOR

DEPARTMENT: Mountain Sports School (MSS)

DATE: November 2019

REPORTS TO: Admin Supervisor

FLSA STATUS: Non Exempt

CLASSIFICATION: Full Time Seasonal

GENERAL PURPOSE

To provide administrative support to the JHMR Mountain Sports School in order to give the highest level of guest service to JHMR guests, and to ensure the efficient and profitable operations of the Mountain Sports School.

ESSENTIAL FUNCTIONS

  • Create, manage, and communicate MSS hire packet and onboarding process

  • Manage paperwork process for instructors who are unable to attend a paperwork session

  • Update instructor profiles in RTP to ensure payroll accuracy

  • Create and manage instructor ProCard accounts and pay profile in RTP

  • Oversee daily MSS Payroll

  • Ensure accurate weekly payroll through thorough and detailed analysis of RTP pay preview and pay final reports

  • Have a thorough understanding of MSS operations to ensure instructor activity pay is aligned appropriately with MSS products to provide an accurate basis for labor/revenue analysis

  • Work with JHMR payroll accountant to finalize pay, ensure pay accuracy, and handle any pay discrepancies

  • Create weekly financial reports including: Labor to Revenue, Gross Income, Direct Detail, Class Average, Average Hourly

  • Analyze weekly financial reports to ensure accuracy

  • Manage uniform inventory, distribution, tracking and return process

  • Manage a staff of uniform crew during inventory, distribution and return process

  • Coordinate collection of all uniform pieces in need of repair

  • Work with uniform distributors directly to address any warranty and repair issues

  • Work with MSS Sales staff to manage billing for all missing uniform pieces

  • Distribute helmets to all eligible JHMR departments; communicate distribution schedule and employee eligibility to all departments

  • Complete JHMR uniform analysis and reporting for FY21 uniform order

  • Work with NSAA SWAG or similar programs to recycle/dispose of old uniform pieces

  • Collect and provide feedback from staff on uMSS Aniforms to improve the uniform for future seasons

  • Provide administrative support for MSS instructors to ensure they are set up for success

OTHER FUNCTIONS

  • Work closely with on-snow supervisors, communicate special situations as necessary

  • Provide feedback and suggestions to MSS management to improve quality and efficiency of the overall operation

  • Work with MSS Supervisor group to schedule, coordinate and communicate pass sessions

  • Work with Admin Supervisor and Sr. Business Manager to analyze monthly P&L’s

  • Act as intermediary when Supervisors are not available

  • Sign off on time cards for MSS Exempt employees in ADP

WORK ENVIRONMENT

Office, warehouse, and outdoor on-snow environment with exposure to extreme temperatures

PHYSICAL DEMANDS

Ascending and descending ladders, stooping, crouching, lifting up to 35 lbs., sitting, standing, walking on snow, loading and riding gondolas, typing

POSITION TYPE AND EXPECTED HOURS OF WORK

Full Time, Seasonal, typical week 40 hours of work, typical hours 8am-5pm

TRAVEL

Travel between JHMR and Ram building multiple times per week

REQUIRED EDUCATION AND EXPERIENCE

High school diploma or equivalent; management experience, accounting experience, training experience.

PREFERRED EDUCATION AND EXPERIENCE

Bachelor’s degree in business administration, finance, accounting or related field; experience working in snow sports school operations, payroll accounting, RTPOne software.
