Job Description

What You’ll Get to Do:

  • Perform simple typing assignments using word processing equipment. Assist in copying, scanning and faxing documents; assist in organizing, naming and numbering electronic and hard copy case materials. Assemble/disassemble documents as required, taking care to ensure that original documents are reassembled exactly to their original state.

  • Assist legal support staff in developing exhibits, compiling notebooks, including pulling file copies of documents, tabbing binders, numbering, binding, labeling, and re-filing documents.

  • Receive telephone calls and visitors to the office; control access; notify staff members of visitors or incoming telephone calls; takes messages from, and gives messages to visitors and callers when staff members are unavailable; determine when to transfer calls to staff member’s voice mail or overhead paging, as appropriate, and executes one or both actions. Exercise tact and discretion in determining what information can be provided and to whom. Must be aware that information regarding cases is sensitive and determine when inquiries should be referred to the appropriate staff member.

  • Assist with data entry. Enter data sufficiently and accurately.

  • Assist with records management. Assist office personnel in purging closed case files of extraneous and inappropriate materials and tags, separates or compiles materials to be purged later according to office policies and procedures. Prepare case files for disposition to the Federal Records Center.

  • Assists in undertaking inventory control functions. Assists property management officials in inventory and disposal of excess inventory, and in maintaining automated inventory control records and hard copy documentation.

  • Promote the integrity of office security. Verify the identification of individuals seeking entrance to USAO space. Provide appropriate badges and maintains logs of badges issued. Deal with visitors who display a range of dispositions, some of whom may be negative or combative. When appropriate, use interpersonal skills to defuse or ameliorate difficult situations. Carefully assess suspicious mail, persons, or other elements and takes precautionary measures to enhance security.

The contractor shall provide a receptionist/clerk with the knowledge, skills and abilities to perform the duties specified herein. The contractor shall be proficient in Microsoft Office programs (i.e., Word, PowerPoint, Excel and Outlook).

You’ll Bring These Qualifications:

  • Ability to use, understand and maintain directories, personnel lists and other guides and references to provide a variety of information on the USAO and to refer questions to appropriate parties within and outside of the USAO.

  • Skill to meet and deal with people in a courteous and tactful manner.

  • Skill to operate a multi-line telephone system and voice mail system.

  • Skill to operate a personal computer using a standard typewriter style keyboard with additional function keys to produce a wide range of documents, using Microsoft Outlook, WORD and Excel.

  • Ability to maintain the attorney’s calendar and schedule meetings and court appearances accurately and in a timely manner.
