Description We are looking for a diligent Administrative Assistant to join our team in the non-profit sector in Coachella, California. As an Administrative Assistant, your main role will be to support our departmental operations by performing a variety of administrative tasks. You will be expected to maintain accurate records, prepare monthly reports, process accounts payable, as well as manage office supplies.Responsibilities: Perform a broad range of administrative duties to support departmental operations Prepare monthly reports and maintain accurate records Handle accounts payable and cashiering duties Order and maintain office supplies Perform word processing, data entry, and transcription tasks Produce monthly statistical reports for managers by checking and correcting data Research records to prepare and provide follow-up information to customer and staff inquiries Provide telephone and/or counter support to the public and staff, responding to inquiries and explaining procedures Type, format, proo and distribute a variety of reports, letters, and memoranda Organize and maintain various administrative, reference, imaging, and follow-up files Assist in the records management and retention function, including scanning, editing, and indexing all official documents Receive payments and fees from the public, issue receipts, and post information to departmental records Verify and review forms and reports for completeness and conformance with established regulations and procedures Assist in planning, organizing, and coordinating events.This role offers a long term contract employment opportunity and requires skills in Administrative Office, Basic Office Skills, Microsoft Excel, and MS Word. Requirements Must possess a minimum of 2 years of experience in an Administrative Assistant role within the non-profit sector Demonstrated proficiency in Microsoft Office Suite, specifically MS Word and Excel Strong knowledge of basic office skills Excellent organizational skills and attention to detail Ability to multitask and prioritize tasks efficiently Strong written and verbal communication skills Experience in general administrative office tasks such as scheduling, correspondence, and database management Ability to work independently and as part of a team Ability to maintain confidentiality and handle sensitive information with discretion High school diploma or equivalent required, bachelor's degree preferred Experience with non-profit administration is a plus.
