Job Summary
The office manager will be responsible for administering the day-to-day operations of the practice.
Essential Job Functions:
Financial Functions
Support the financial strategy by meeting the financial goals established for the practice.
Support the practice owner(s) in the development and execution of annual budgets that align with financial goals.
Propose and carry out processes which drive production and profitability.
Develop, establish, and direct the execution of operating policies to support overall company objectives.
Evaluate accounts payable and accounts receivable functions and processes and recommend changes to increase efficiency and expense reduction.
Management Functions
Ensure adherence to all laws and regulations regarding dental operations including but not limited to waste disposal and safety.
Assist in human resource-related issues including assuring proper staffing levels, performance and compensation management and maintaining compliance with all local, state and federal employment laws.
Represent the practice during presentations and hearings, maintain successful relations with provider organizations.
Oversee the cleaning and maintenance of the facility and the selection and maintenance of equipment.
Supervise the selection and ordering of supplies.
Maintain and monitor contracts with managed care organizations.
Contract with outside services, such as medical billing agencies, as needed.
Oversee the overall marketing strategy for the practice.
Front Office Functions
Manage patient scheduling and billing and ensure that patient accounts and records are accurate and complete and that patient confidentiality is strictly maintained.
Administer the practice schedule, develop policies and establish protocols for all aspects of patient scheduling to ensure efficiency and effectiveness.
Administer patient management processes including developing and implementing new patient experience protocols and reengagement strategies.
Manage patient dental benefit plan information. Verify and update benefit details offering educate to patients on their dental benefits.
Conduct financial new treatment plan consultations with all new and existing patients.
Oversee all accounts receivable management, including over-the-counter collections, prepare statements, follow-up insurance claims, follow-up delinquent accounts and create payment arrangements with patients.
Provide patient education materials.
Provide staff support as needed.
Maintain regular, predictable attendance.
Minimum Requirements:
Minimum 3 years demonstrated experience in dental practice management.
Working knowledge of budgeting and managing profit and loss.
Proven financial/analytical skills.
Demonstrated knowledge in human resource management and employment laws.
Excellent communication skills, both verbal and written, with the ability to adapt style and approach based on audience.
Ability to handle highly sensitive confidential matters.
Optional Requirements:
Experience with Open Dental and Patterson Imaging dental software.
Experience in general dentistry.
Fluent in Spanish preferred.
