HEINI, is an NYC based construction company specializing in the development, design, fabrication and installation of temporary environments, permanent architecture and general contracting. We service high profile NYC / national clients in entertainment, pro-sports and the arts.
Position Overview:Owner / principal is seeking a high energy and (very) organized Studio Assistant/Office Manager to help her sort through chaos to develop and maintain efficient systems in our team office, home office and studio located in a busy Bed-Stuy brownstone. :)
Responsibilities:
- Organize physical spaces - turn dysfunction into gold
- Order HEINI merch
- Help to manage community center in team office
- Take initiative to be proactive / make decisions by doing detective work, sometimes with minimal information or over-sight to get started (we call this fog of war)
- Handle incoming finance mail, organizing bills, invoices, and financial documents for processing
- Track, process and return packages
- Coordinate in person appointments
- Manage office supplies, inventory, food and beverage, ordering as needed to maintain a functional work environment
- Process incoming packages
- Coordinate with Fairu my right hand for the house
- Act as a liaison between owners and external contacts, ensuring clear communication and timely follow-up on inquiries
- Follow and maintain working procedures that document the process for all of the jobs to be completed
- Update desk and giant physical wall calendar
- LOVE TO MAKE LISTS and remind me over and over what’s on the list, big tasks and small
Qualifications:
- Ability to organize chaos and maintain order
- Interested in creating and using systems
- Ability to adapt and influence change
- Able to work independently and collaboratively
- Possess a send of humor (a must, don’t have to BE funny but do have to laugh haha)
- Ability to capture complex information through quick and fast conversations
- OK working side by side with someone who is only just learning to manage and mentor people
- Ok with start-up culture
- Ability to connect people in the team to get work done faster and smarter, includes virtual executive assistant local and in Bogota, Colombia
- Able to identify and influence dysfunction
- Interested in a community space where they can also do projects
- Ok working in a huge, busy brownstone with three kids and other employees running around
- Ok with sometimes very eccentric and sometimes intense personalities
- Ok working with someone who changes their mind and often contradicts themselves but is learning to be better about that
- Fantastic sense of aesthetic
- Drivers license is not required but is definitely a plus

Schedule: The scheduleis approximately 9:30 to 4 on Monday, 9:30 to 1 on Wednesday, and 9:30 to 1 on Friday. Theschedulecan be negotiated, but once established, it should not change.
