Job Summary: The Install & Sales Admin Assistant is responsible for assisting our Install Coordinator with the HVAC Sales administrative functions and with scheduling all residential heating, cooling, and ventilation installation projects to ensure efficient, timely, and high-quality service delivery. The assistant will proactively assist in tracking job progress and supports technicians. Success in this role requires strong organizational skills, a high level of attention to detail, excellent problem-solving abilities, the ability to work in a fast-paced environment, and the willingness to learn and grow with the department. This role will play a key role in maintaining a smooth workflow, contributing to team productivity, and delivering outstanding customer experience.

Compensation: Up to $26 per hour, depending on experience

Schedule: Monday - Friday

Work Location: Redmond, OR. This is an onsite, in-person, position.

Key Responsibilities, include but may not be limited to:

Contribute to schedules and coordinating residential HVAC installation jobs, ensuring efficient routing and balanced workloads for installation teams.

Provide support to all job details, including arrival windows, equipment selections, payment selections, and access requirements.

Communicate daily with installation technicians to review schedules, job notes, and any special instructions.

Assist in orders and track all necessary equipment, parts, and materials to ensure they are ready prior to installation.

Maintain accurate job files, documentation, permits, and completion of paperwork.

Provide support to monitoring job progress throughout the day and resolve scheduling conflicts or delays proactively.

Assist in providing timely updates to customers regarding technician arrival times, changes, or job status.

Work closely with sales, warehouse, and service departments to ensure smooth project handoffs.

Collaborate with Coordinator for inspections, permits, and follow-up work as required.

Verify that completed installations meet quality standards and that all required documentation is submitted.

Assist with warranty registration, rebate submissions, and equipment tracking.

Support installation teams with logistical needs, including equipment pickup, delivery arrangements, and job site information.

Qualifications:

On-the-job training provided.

Have verifiable work history and references.

Able to communicate professionally, clearly, and concisely with other team members, management, and customers in person, by phone and email.

Must be highly motivated, detailed oriented, able to multi-task, be highly skilled in problem solving and accurate resolutions, have a keen sense of urgency, be flexible, and demonstrate the ability to follow through on tasks timely and effectively.

Have a great attitude that blends well with a fast-paced, goal-driven environment.

Must be punctual with a clean presentation of them self and be prepared to work every day to provide reliable support for your team with excellent timeliness and attendance.
