POSITION: Customer Service Specialist, Full-Time (30-40 hrs/week), Sat: Occasionally, as needed.

REPORTS TO: Dr. Nathan J. Heide, DAOM, MBA, LAc

FLSA STATUS: Non-Exempt

SUMMARY

The Customer Service Specialist's duties are to be able to stimulate positive energy while effectively and accurately managing front end clinic responsibilities. Importantly, you are the first and last impression of the Anjuna Sports Acupuncture clinic.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Welcomes patients and visitors by greeting in person, or on the telephone; answering or referring inquiries.

Optimizes patient satisfaction, provider time, and treatment room utilization by scheduling appointments in person, online, or by telephone.

Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding providers and patients of service delays.

Comforts patients by anticipating patient anxieties; answering patient questions; maintaining the reception and patient room areas.

Ensures availability of treatment information by filing and retrieving patient records.

Maintains patient accounts by obtaining, recording, and updating personal and financial information.

Any other duties deemed necessary by management.

QUALIFICATIONS

To perform this job successfully, an individual must have the ability to multitask while still being able to manage a friendly and professional representation of the medical office.

EDUCATION AND/OR EXPERIENCE

High School Diploma of Equivalent

Previous experience in medical office setting

PREFERRED KNOWLEDGE, SKILLS AND ABILITIES

Willingness to learn new concepts and ideas

Experience with HCFA/CMS 1500 Claim Forms

Experience with EHR databases

Experience with Microsoft Office 365

Knowledge of HIPAA rules and guidelines

Ability to communicate and interact with co-workers in a positive manner
