Description We are looking for an Administrative Assistant to join our team in a non-profit organization based in Chattanooga, Tennessee. This role is pivotal in supporting the operational efficiency of the organization and ensuring seamless communication. The successful candidate will be adept at handling administrative tasks, streamlining processes, and developing organizational systems.ALL APPLICANTS MUST LIVE IN THE STATE OF TN FOR THIS POSITIONResponsibilities: Manage and audit purchase orders in compliance with the organization's policies and procedures Streamline processes and develop organizational systems to enhance efficiency Create and maintain checklists for various administrative tasks Establish a systematic approach for receiving, reviewing, and approving purchase orders Coordinate hotel reservations and book meeting spaces for organizational events and activities Compose emails on behalf of the Directors, ensuring clarity and professionalism Utilize PowerPoint and Canva to create visually appealing presentations and documents Provide administrative support to the Directors as neededRequirements Minimum of 2 years of experience in an administrative role, preferably within the non-profit sector Proven record of streamlining administrative processes and procedures to enhance efficiency and productivity Excellent organizational skills with the ability to manage multiple tasks, set priorities, and meet deadlines Strong communication skills, both written and verbal, with the ability to interact effectively with all levels of staff and stakeholders Proficiency in using various office software, including email, spreadsheets, databases, and presentation software Experience in coordinating and scheduling meetings, preparing meeting agendas, and taking detailed minutes Demonstrated ability to maintain a high level of professionalism, integrity, and trustworthiness in handling confidential information High school diploma or equivalent required, higher education or certifications in related fields would be an asset Familiarity with the non-profit sector and understanding of its unique needs and challenges would be beneficial.
