We are seeking a detail-oriented and organized office assistant. This candidate will assist the company's Environmental Services and Inventory Manager. The ideal candidate will be responsible for ensuring accurate record-keeping and facilitating efficient operations within these departments. This role requires strong communication skills, computer knowledge, attention to detail, and the ability to work collaboratively across departments. Sales and collections experience is desired. The ideal candidate will be able to multi-task in a fast-paced environment, while successfully meeting deadlines.
Responsibilities:
Provide executive administrative support to the Environmental Services and Inventory Control Manager.
Assist the manager in a variety of tasks: contacting customers, scheduling appointments, collecting AR, locating and purchasing inventory, maintaining accurate records, and other organizational responsibilities.
Utilize phone and computer systems to communicate with customers, suppliers, and internal team members.
Implement and maintain inventory management software to ensure accurate data entry and reporting.
Coordinate with the teams to ensure timely service to customers and replenishment of inventory stock.
Assist in reports and trend data for management review.
Serve as a point of contact for customer service inquiries related to various departments.
Support front desk operations as needed, ensuring a seamless flow of information between departments.
Requirements:
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Proficiency in data entry and organization.
Familiarity with quality customer service practices.
Experience with phone systems, computer systems, and clerical duties.
Excellent communication skills, both verbal and written, to effectively collaborate with team members, and communicate with the public.
Ability to adapt quickly in a fast-paced environment while maintaining attention to detail.
A proactive approach to problem-solving and decision-making within the scope of Environmental Services and Inventory Management.
