Description Job SummaryWe are seeking a highly organized and professional Executive Assistant to provide dedicated support to our CEO. The ideal candidate will be an exceptional communicator with strong organizational skills and the ability to manage multiple tasks efficiently. This role requires discretion, a proactive approach, and the capability to handle high-level administrative responsibilities in a fast-paced environment.Key ResponsibilitiesAdministrative Support:

Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.

Screen and prioritize incoming communications, including phone calls, emails, and mail.

Prepare and edit correspondence, reports, presentations, and other documents.

Meeting Coordination:

Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.

Assist in the preparation of materials for board meetings and executive presentations.

Project Management:

Assist the CEO in managing various projects, ensuring timely completion and adherence to company goals.

Track progress on key initiatives and provide regular updates to the CEO.

Communication:

Act as a liaison between the CEO and internal/external stakeholders, ensuring smooth communication and follow-up on requests.

Draft, proo, and distribute internal and external communications.

Travel and Event Planning:

Coordinate travel arrangements, including booking flights, accommodations, and transportation.

Plan and execute company events, meetings, and conferences as needed.

Confidentiality and Discretion:

Handle sensitive information with the highest level of confidentiality and discretion.

Maintain confidentiality regarding company matters and executive decisions.

Office Management:

Oversee office operations and manage office supplies inventory.

Coordinate with other administrative staff to ensure smooth office functioning.

Requirements

Qualifications

Bachelor’s degree in Business Administration or a related field preferred.

Proven experience as an executive assistant or in a similar role supporting senior executives.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Exceptional organizational and time management skills.

Strong written and verbal communication abilities.

Ability to work independently and manage multiple tasks simultaneously.

High level of discretion and professionalism.

Excellent problem-solving skills and attention to detail.

Experience in the property management industry is a plus.
