Job Title: Administrative Assistant
Classification: Hourly/Non Exempt
Reports To: Human Resources Manager
Core Hours: Monday through Friday from 8:30am to 5:00pm, but may be adjusted to work events during the weekend or evening
Summary: Reporting directly to the Human Resources Manager, this role provides essential administrative support to the Cypress Grove Office Staff and oversees front office operations. Responsibilities include welcoming both casual and business visitors, managing mail distribution, and directing phone calls to the appropriate personnel, all while serving as a professional and courteous representative of the company.
Essential Duties: The essential duties include, but are not limited to the following:
Reception
Perform open and closing office procedures
Serve as first point of contact on the phone and with customers and public, providing company history and tours
Have the ability to efficiently operate modern office equipment and machinery
Keep reception area, office areas, breakrooms and meeting rooms clean and stocked with supplies.
Coordinate check in for creamery visitors
Clerical tasks
Assemble take aways for walk in visitors
Administration
Report to proper personnel any information from customers such as quality issues, requests for special products or materials, competitive information etc.
Order and maintain stock of office supplies breakroom supplies and cheese for visitors
Provide support to Finance including both incoming and outgoing check processing, managing petty cash, credit card reconciliation, and other ad hoc requests
Provide support to Marketing including responding to info@ requests, processing donations, and other ad hoc requests
Occasional offsite errands
Manage company sponsored cell phone program
Act as a liaison between vendors, including company IT and communications support, and Cypress Grove employees.
Sample order management
Tasks as assigned by Directors, including food for meeting and travel arrangements
Back up timekeeping
Responsible for aesthetic of office
Company Functions and Events
Planning, set up and clean up of Grover Gatherings, seasonal employee parties and social events
Arrange and manage Grover Lunches
Organize refreshments and supplies for team meetings as needed

Frequently required to sit for long periods of time, and occasionally required to stand for long periods of time
Dexterity to operate computer keyboard, mouse, and other devices and objects as necessary
Must occasionally kneel, stoop, crouch and twist
Must be able to lift 25 pounds
Experience and Skills
Ability to clearly & patiently communicate and problem solve
Possess the temperament to work with strong personalities while maintaining composure and representing CGC in best possible light both internally and externally
Ability to manage multiple projects and complete them according to deadlines while working with others as well as alone
Ability to maintain focus and accuracy through ongoing interruptions
Must be able to provide proof of a valid driver's license and insurance
Proficient in, or have the ability to learn, various types of commonly used software such as Outlook and BC
Employee must adhere to all applicable Cypress Grove policies and procedures. Regular and predictable attendance is required. Willingness and ability to work non-standard business hours, such as nights and weekends, on an as-needed basis is required. This position is not eligible for remote work.
