Reports to: On-Site Property Manager

Position Overview: The Office Administrator will be a proven leader who demonstrates superior skill in customer service, client and tenant relations, property operations, lease administration and financial reporting. The degree of responsibility and the number of duties will depend upon the property and the Property Manager to which the employee is assigned. Under general supervision, assists in administrative activities of on-site management. Assists in effectively implementing procedures, cost controls and policies and keeps exemplary tenant and client/owner relations.

Work Environment:

o Normal exposure to weather and temperature extremes usually found in office environments and outside ambient exposures

o Maintain posted office hours; work normal hours; overtime or extended hours required

O Outside twice each evening/shift for Daily Check.

o Will work at RV office and use company golf cart as needed

Physical Effort:

o Normal physical mobility that includes movement from place to place, that includes ability to maneuver body while in place, physical strength to handle 25lb. objects associated with this job, to handle routine materials and tools

Resident Relations:

o Assist with conducting prospective resident interviews as needed

o Perform residency approval procedures

o Set-up of resident files

o Assist with collection and processing rents

o Adhering to all park rules and regulations enforcing park rules and regulations and state and federal housing codes.

o Handling of resident complaints & problem solving skills with Manager

o Maintains resident files in accordance with established Company policies and procedures

o Attend seminars, classes as required to keep up with new laws, regulations

o Displays strong communication skills both verbal and written along with basic knowledge of customer service practices and goals.

Accounting:

o Making bank deposits and reconciliation

o Assist with late notices, non-payments, NSF, and other compliant letters

o Strong computer skills and familiarity with Microsoft Office suite of software applications.

o An aptitude to plan and prioritize tasks, maintains accurate records, follow oral and written instructions and adapt to change within the organization and the needs of the clients.

o Ability to work with little direction maintaining confidentiality and professionalism.

o Assists with all activities related to rent collection, including: updates MRL; park billing services, credit card machine administration, timely bank transactions works with the Property Manager to reduce the number of tenants who are delinquent in their rent payments.

Leasing:

o Maintains a positive image of self, the property and the Company at all times in the community. Strive to attend and participate in outside or in-house activities, meetings, organizations, regulatory agencies, etc., to enhance the image. Assists with organizing social events.

o Interacts with residents to resolve complaints and solve problems in a timely and courteous manner within the same day they are received.

o Supports the Property Manager in following-up with tenants on lease enforcement issues. May establish or maintain a tenant service/complaint procedure and log and follow up all reports with appropriate action.

o Performs and assists move out and move in procedures. Inspects spaces upon the departure of a tenant; arranges for maintenance and cleaning personnel to go through the space prior to turnover to a new tenant; confirms by inspection that the turnover activities were complete and satisfactory, according to Company standards.

o Performs and assists in conducting regular property inspections, Four Sided inspections and RV Lot inspections to ensure that the property is maintained in accordance with Company standards.

Non-Essential Functions:

o Stays active and current on all site issues to provide back-up support for the Property Manager. Establishing work schedules and assigning work as required, maintain efficient use of management staff time, complete a variety of reports and recommend corrective action as appropriate.

o Assists in preparation, coordination and insuring that all fire, life safety and other safety programs are established and followed.
