Position: Fleet Maintenance Director

The Maintenance Director oversees the safe, efficient, and cost-effective operation of the fleet. This role manages daily maintenance operations, ensures compliance with safety regulations, supervises parts and service management, and provides operational support for the fleet and drivers.

Key Responsibilities:

Daily Operations-

Assign buses to drivers and coordinate with dispatch to meet trip demands.

Review and report daily post-trip inspections (via Whip Around software) to mechanics.

Provide support to drivers for bus-related issues; escalate to mechanics when major repairs are required.

Maintenance & Service Scheduling-

Coordinate with staff to ensure all 45-day and annual inspections are completed on time.

Schedule routine services (oil, transmission, differential changes, etc.) with mechanics.

Maintain accurate service records for all vehicles and service trucks.

Parts & Inventory Management

Oversee parts procurement, inventory, and control.

Research and source cost-effective parts while managing warranties and returns.

Verify deliveries against invoices to ensure accuracy.

Maintain lubricants and fluids inventory (oil, DEF, coolant, etc.) and secure best pricing.

Safety & Compliance

Retrieve and review safety footage from the camera system when needed.

Organize and track driver training and proficiency checks (emergency procedures, equipment use, etc.).

Investigate bus damages (reported and unreported), document incidents, and work with management on disciplinary actions.

Monitor safety scores via Samsara and dashcam system (speeding, seatbelt use, harsh driving, etc.).

Quality Control & Cleanliness

Conduct monthly inspections to verify bus amenities (stereos, microphones, cameras, outlets, restrooms, Wi-Fi, etc.) are fully functional.

Manage bus washing schedules and ensure cleaning staff follow safety protocols.

Maintain cleaning supply inventory and manage the lost & found process in coordination with dispatch.

Software & Reporting

Ensure maintenance laptops and diagnostic software (Cummins, Detroit, Tech Tools, etc.) are updated and operational.

Submit monthly Bridgestone tire mileage reports for all buses.

Hands-On Support

Assist with basic on-site/emergency maintenance related chores as needed.

Service Trucks Management

Maintain current registrations and insurance for service trucks.

Track service records and perform regular toolbox inventory checks.
