Description We are seeking an Administrative Assistant to join our team based in Irwindale, California. This role plays an integral part in supporting our marketing operations through various administrative duties. As an Administrative Assistant, you will facilitate the smooth execution of marketing projects, manage team communications, and handle administrative logistics.Responsibilities: Assist in the organization and coordination of marketing team's activities and schedules. Collaborate with different internal departments and external agencies for timely execution of marketing campaigns. Manage the administrative logistics related to marketing materials, budgeting, project management, and team meetings. Contribute to the preparation of key reports, presentations, and other important communications. Maintain and update the marketing team database and customer relationship management systems. Handle requests for information and data from the marketing team. Perform operational tasks such as preparing invoices, reports, memos, and letters. Coordinate and track marketing expenses and process expense reports for team members. Assist in the coordination and management of marketing events, which includes logistics, vendor management, and on-site support. Update and maintain the Marketing department's documentation and databases. Requirements Minimum 2 years of experience working in an administrative role or a similar capacity Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook Experience with Adobe Illustrator and Adobe Photoshop Ability to handle inbound and outbound calls professionally Excellent customer service skills and the ability to handle customer queries effectively Experience in data entry with a high level of accuracy Ability to manage email correspondence professionally and effectively Capacity to schedule appointments and manage calendars efficiently Proficiency in creating creative content and possessing a creative mindset Ability to think creatively to solve problems and improve processes Excellent written and verbal communication skills Strong organizational skills and attention to detail Ability to multitask and prioritize tasks effectively Proactive and self-motivated with a strong work ethic Ability to work effectively both independently and as part of a team Adherence to company policies and procedures Willingness to learn and adapt to new technologies and tools as required.
