Position Overview:
The Accounting Assistant supports the accounting department by handling accounts payable and receivable, performing data entry, and processing invoices. The role ensures accurate financial records are maintained and assists with the day-to-day financial operations of the company.
Duties and Responsibilities:
Assist with processing accounts payable, including verifying invoices and matching them to purchase orders.
Process and enter accounts payable and receivable transactions.
Prepare, review, and distribute client invoices.
Perform general bookkeeping tasks.
Assist with work orders and job costing.
Support collection activities as needed.
Assist with maintaining accurate financial records and databases.
Provide administrative support to the accounting team, including document filing.
Assist with financial reporting and audits.
Ensure compliance with company policies and maintain confidentiality of financial data.
Manage front desk operations and mail reception, including greeting visitors, answering incoming calls, directing inquiries, and receiving, sorting, and distributing incoming/outgoing mail and packages.
Perform other duties as assigned.
Core Skills and Competencies:
Proficiency in QuickBooks, Microsoft Word, Excel, and Outlook.
Strong attention to detail and organizational skills.
Excellent written and verbal communication skills with the ability to effectively engage with customers, co-workers, and stakeholders.
Ability to manage confidential information with discretion.
Education and Experience:
High school diploma required, associate’s degree in accounting preferred.
1-2 years of experience in accounting or bookkeeping.
Working Conditions:
Office-based, full-time role, Monday to Friday, 8:00 AM to 5:00 PM, with the potential for overtime as needed.
Prolonged periods of sitting at a desk and working on a computer.
Ability to occasionally lift up to 25 pounds and move within the office as needed.
