Overview: L2 Specialties is seeking a detail-oriented, proactive professional to join our administrative team! The Administration – Office Operations role plays a key part in ensuring smooth daily operations and works collaboratively across Administration, Sales, and Construction. This position also supports both internal staff and external clients with a wide range of administrative, operational, basic accounting and documentation needs.

Key Responsibilities:

Operational & Administrative Support

Manage business license acquisitions and renewals.

Process employee timecards and expense reports.

Assist with payroll reporting/compliance requirements for various agencies.

Process new job bookings and maintain project-related records.

Create and distribute weekly/monthly reports using Sage accounting software.

Support Accounts Receivable collections and Accounts Payable tasks.

Prepare and track pre-liens, insurance certificates, and project-specific safety documentation.

Coordinate project badging requirements.

Manage vendor sample requests and maintain sample inventory.

Prepare closeout documents and warranty packages.

Maintain employee records and new hire onboarding.

Manage and keep records related to L2 Safety Program

Manage PTO calendar and reporting for payroll

In addition, the position fills a supporting role for the following overall Administrations Departmental responsibilities:

Greet guests and manage inbound calls.

File storage & file management.

Inbound/Outbound parcel handling (US Mail, FedEx, UPS, etc.).

Prequalification documents and vendor credit applications.

Coordinate equipment needs such as maintenance, phones, computers, and office electronics.

Support general office needs and supply management.

Contribute to occasional office event planning.

Ensuring in-person department coverage (Mon-Fri, 8AM-5PM)

Hours: Full time (Monday through Friday, 8AM-5PM). Eligible employees may participate in the Company’s “occasional telecommute” policy.

Compensation: $50,000 through $60,000 annual salary depending on qualifications. L2 Specialties offers a medical, dental and vision plan and retirement plans for eligible employees.

Terms of employment: At-will.

Qualifications:

Bachelor’s degree is preferred although an associates degree or equivalent work experience will be considered.

Have a valid California driver’s license & clean driving record.

Excellent verbal and written communication skills.

Proficient in Microsoft Office Suite (Word, Excel, Outlook)

Reside within 15 mile radius of L2 Specialties, Inc.

Experience in Sage accounting software (or similar), certified payroll and commercial construction administration is considered a bonus.
