Forensiclean LLC is a Sacramento-based environmental services company founded in 2013. We specialize in biohazard cleanup, trauma scene remediation, municipal cleanup, waste hauling, and emergency response services. We work closely with law enforcement agencies, local governments, property managers, and private clients throughout Sacramento County and surrounding regions.
We are seeking a highly organized and dependable Office Administrator to manage billing, client relations, office organization, and administrative support to company ownership.
Position Overview
This role is central to Forensiclean’s day-to-day operations. The Office Administrator will handle invoicing and billing, maintain professional client communications, keep the office organized, and provide direct administrative support to ownership. The ideal candidate is detail-oriented, trustworthy, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities
Billing & Invoicing
Prepare and submit invoices for municipal, law enforcement, insurance, and private clients
Track billable labor hours, equipment usage, and job documentation
Maintain accurate billing records and organized job files
Follow up on outstanding invoices and payment status
Client Relations
Serve as a primary office contact for clients via phone and email
Communicate with city agencies, police departments, property managers, and private clients
Coordinate service confirmations, documentation, and follow-ups
Maintain professional, clear, and calm communication at all times
Office Administration & Organization
Manage incoming calls, emails, and correspondence
Maintain organized digital and physical filing systems
Assist with document preparation (service reports, contracts, internal forms)
Support general office workflow and daily operations
Owner & Executive Support
Provide direct administrative support to company ownership
Track tasks, deadlines, and operational priorities
Handle sensitive information with discretion and confidentiality
Assist with special projects as needed
Qualifications
2+ years of office administration, billing, or operations support experience
Strong organizational and time-management skills
Excellent written and verbal communication
Ability to work independently and manage competing priorities
Proficiency with Microsoft Office and Google Workspace
Billing or QuickBooks experience is a plus
Preferred Experience
Experience working with municipal or government clients
Familiarity with time-and-materials billing or service-based invoicing
Experience supporting executives or business owners
