Job Summary:

Bob’s Crane Service is seeking a meticulous and detail-oriented Billing Specialist to join our crane rental company. The Billing Specialist will be responsible for managing all aspects of daily and monthly invoicing, ensuring accurate billing for crane rental services, and managing billing-related documentation. This role requires familiarity with union work, prevailing wage rules, and the ability to coordinate with various departments to ensure timely and accurate billing.

Key Responsibilities:

- Daily Invoicing:

- Generate and process daily invoices for crane rentals and associated services.

- Ensure timely and accurate entry of billing data into the system.

- Documentation Management:

- Collect and verify Purchase Orders (POs), contracts, and other necessary billing documents.

- Ensure all required documentation is properly filed and accessible for billing purposes.

- Monthly Billing:

- Prepare and process monthly storage billing.

- Monitor and track long-term storage agreements and update billing as needed.

- Invoice Breakdown:

- Accurately bill for crane rental costs, crew travel expenses, rigger costs, trucking charges, and yard load expenses.

- Verify rates and terms according to contracts and agreements.

- Union Work Compliance:

- Ensure compliance with union work rules, including prevailing wage regulations.

- Work closely with project managers and HR to track union rates and associated labor costs.

- Communication:

- Collaborate with customers to resolve any billing discrepancies.

- Coordinate with the operations team to ensure accuracy of billing inputs and job documentation.

- Communicate regularly with clients regarding billing cycles and outstanding invoices.

Required Qualifications:

- Experience:

- Minimum 2 years of experience in billing or accounting, preferably in the construction or heavy equipment rental industry.

- Knowledge:

- Familiarity with union labor practices, including prevailing wage rules and regulations.

- Strong understanding of construction or industrial service billing processes.

- Skills:

- Excellent organizational skills and attention to detail.

- Strong communication skills for interacting with clients and internal departments.

- Proficient in QuickBooks and MS Office Suite.

- Ability to work independently and manage multiple tasks in a fast-paced environment.

- Additional Qualifications:

- Experience with collecting and processing purchase orders and contract documents.

- Knowledge of common industry charges such as crane rental, labor, trucking, and storage costs.

- Must be willing to learn to process weekly payroll as back-up as needed
