Join us as we change lives.We are seeking a highly organized and experienced Facilities Manager to oversee the maintenance, construction projects and operations of our Agency’s facilities. The scope of the job includes all Agency locations within the SF Bay Area (Marin County, San Francisco, San Mateo County, and Occidental). Although the primary location for this position is in Marin County, the person filling this position will be required to spend at least two days per week in San Francisco.As the Facilities Manager, you will be responsible for ensuring that our buildings and grounds are well-maintained, safe, and compliant with all relevant regulations. Your role will involve managing a team of maintenance staff, coordinating vendor relationships, and implementing effective facility management strategies.PROGRAM & POSITION SUMMARYAdditionally, the Facilities Manager is charged with the day-to-day implementation of policies,procedures, programs and workplace services delivery that provides well-managed and well-maintainedbuildings and sites. An emphasis of this role is placed on the needs of the Agency’s employees, clientswithin our care, and environmental health and safety. This position coordinates the activities, financials,vendors and manpower required for current and future needs of Agency building and campusoperations.The ideal candidate will have a strong background in facility management. construction, excellentleadership skills, and a keen eye for detail.Must have a willingness to handle urgent matters during off hours as needed. Facility Maintenance: Develop and implement a comprehensive maintenance program for allfacilities, including regular inspections, preventive maintenance, and repairs. Ensure that allbuilding systems (electrical, HVAC, plumbing, structural components etc.) are functioningproperly and comply with safety and regulatory standards. Team Management: Supervise a team of maintenance technicians, custodial staff, and otherfacility personnel. Provide guidance, training, and support to ensure efficient and high-qualitywork. Delegate tasks, establish performance goals, and conduct regular performanceevaluations. Vendor Management: Manage relationships with external service providers, contractors, andsuppliers. Obtain competitive bids, negotiate contracts, and oversee their performance to ensuretimely completion of work and adherence to quality standards. Monitor service levelagreements and address any performance issues promptly. Budgeting and Cost Control: Develop and manage the facilities department budget. Monitorexpenses, identify cost-saving opportunities, and implement strategies to optimize resourceallocation. Maintain accurate records of all expenditures and ensure compliance with financialguidelines. Safety and Compliance: Ensure compliance with local, state, and federal regulations related tobuilding codes, safety standards, and environmental regulations. Develop and enforce safetyprocedures and protocols. Conduct regular inspections and coordinate necessary correctiveactions to maintain a safe working environment. Space Planning and Utilization: Collaborate with various departments to optimize the use ofavailable space. Lead/coordinate office relocations, renovations, and expansions. Developspace plans, oversee furniture and equipment installations, furniture ordering, and ensureergonomic standards are met.ESSENTIAL DUTIES & RESPONSIBILITIES Emergency Preparedness: Develop and implement emergency response plans, includingevacuation procedures, fire safety protocols, and disaster recovery plans. Conduct/coordinateregular drills and provide training to employees to ensure their safety and readiness inemergency situations. Sustainability Initiatives: Identify opportunities to improve energy efficiency, reduce waste, andimplement sustainable practices within the facilities. Evaluate and recommend eco-friendlytechnologies and solutions that align with the organization's environmental goals. Property Management: To conduct building and land lease negotiations and ongoingmanagement oversight for the Agency. Identify any capital improvements and purchases that need to be conducted. Produce andmanage annual and five-year Capital Budgets. Conduct inspections with various government and regulatory agencies.
