We are currently seeking a dedicated Administrative Assistant to join our team and provide essential support in our daily operations.

JOB DESCRIPTION:

As an Administrative Assistant for Consolidated, you will play a pivotal role in ensuring our office runs smoothly and efficiently. You will be the first point of contact for clients and visitors and will be responsible for answering phones, scheduling appointments, and handling various administrative tasks. We are looking for a candidate who is not only highly organized but also excels in customer service, especially during challenging conversations related to billing and scheduling and is a pro-active self-starter and relentless problem solver.

KEY RESPONSIBILITIES:

 Answer and direct incoming phone calls in a courteous and professional manner.

 Greet clients and visitors with a welcoming and pleasant disposition.

 Navigate and resolve scheduling conflicts with tact and efficiency.

 Collaborate with team members to ensure seamless office operations, assist Sales Team and technicians with quotes, correspondence, and parts ordering.

 Handle billing inquiries and assist with billing-related tasks.

 Assist with data entry, filing, scanning, maintaining electronic files and paper records, and other administrative duties as required.

 Assist with Accounts Payable, Accounts Receivable, collections and processing deposits.

 Organization and upkeep of office, supplies, stock parts. Assist with shipping and receiving of parts and products.

 Run needed parts and supplies to technicians in the field, miscellaneous office errands and supporting sales staff and technicians when necessary.

QUALIFICATIONS:

 Previous experience as an administrative assistant or receptionist type role in a construction or home services business in a similar role is preferred. High school diploma or equivalent required; additional education or training in office administration or accounting is a plus.

 Exceptional phone etiquette and strong communication skills, especially in difficult conversations.

 Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks, Sage and other accounting software. Ability to navigate various types of software for construction, scheduling, and sales and/or payroll, prevailing wage a huge plus.

 Excellent organizational and time management skills,

 Attention to detail and the ability to multitask effectively, with follow-through, consistency, and dedication.

 A friendly and approachable demeanor.

 Strong problem-solving skills and the ability to remain calm under pressure.
