Position Summary:
This position is primarily responsible for all receptionist duties—being the initial point of contact, providing exceptional customer service, in support of a highly-satisfying guest experience. Other duties include, but are not limited to, assisting food and beverage with reservations and other office staff with various duties as needed, including mailings and various record keeping responsibilities.
Position Responsibilities:
Answer incoming and internal calls coming into the switchboard in a prompt, courteous and cheerful manner; and take messages, or page appropriate staff or client, as necessary.
Accept and record reservations for meals and special events by phone or email. Forward and/or escalate questions and concerns as appropriate.
Receive all incoming mail; and sign for special deliveries.
Assist members and staff in a confidential manner.
Provide schedules and other Club information to members and guests.
Maintain a pleasant demeanor, visibility, and accessibility for members entering the Clubhouse.
Data entry.
Filing; and other duties as assigned.
Qualification Standards
Specific Job Knowledge, Skills and Abilities:
Welcoming and hospitable personality for members and guests, and cooperative with other departments and staff members.
Minimum High School Diploma or GED required; with office skills training, preferred.
Demonstrated proficiency and professionalism in handling a multi-line phone system.
Professional appearance (i.e. professional business attire and grooming), demeanor required.
Must be self-directed, and able to effectively perform duties independently, and with minimal oversight.
Excellent communication (written, verbal) and interpersonal skills required.
Ability to effectively gracefully, and professionally handle customer service demands while balancing multiple tasks and competing priorities—appropriately escalating questions and concerns to the manager on duty or other appropriate customer service representative.
Basic computer skills knowledge and proficiency in MS Office applications, including Word, Excel, Outlook.
Must be available to work every weekend days and evening, weekday evenings, on employer observed holidays (6 per year) and any other shifts requested by Management.
Open shift: Wednesdays and Thursdays 4:00 - 8:00 p.m., ability to work weekends when needed.
