Local Small Plumbing Company seeks Office Manager- Part time flexible schedule. Nice work environment.

The right person will:

Have proficient computer skills, including but not limited to MS Office (Word, Excel, Outlook), Google Suite (Gmail, Calendar, Google Sheets, Drive), and familiarity with office equipment. (Phones, Scanner, Printer, Fax).

Proficient in Quickbooks, we use Quickbooks to bill, collect, manage client list and schedule. So proficienet in this Software is a Must.

Manage all incoming bills, bill payments, collection of accounts receivable.

More duties include but are not limited to:

Maintain professional Vendor and Client relations in and out of office.

Professionally answering incoming phone calls: and taking appropriate action w/ follow through to ensure clients needs get met, techs are informed and schedule is maintained, full charge of managing all incoming emails: taking appropriate action to resolve any issues that arise, getting back to client emails immediately- scheduling services

Assist owner in preparing and managing various documents, reports, and spreadsheets, ensuring accuracy and confidentiality.

Apply for construction or utility permits through the City of Santa Barbara. Upload camera work to the City of SB.

Coordinate with Technicians regarding ongoing jobs, client information, billing information.

Coordinate with technicians to schedule services and maintain an organized schedule.

Pick up and run materials to jobs as needed. Maintain office supplies, pick up Mail at PO Box, open all mail- and take appropriate action.

Manage fleet registration, assist in any work that needs to be done on fleet.

Assist Principal with Personal Assistance : Banking, emails, calls, mail, taxes, deposits, personal vehicles, personal errands- low volume but appreciated.

Assist in small claims court preparation.

Navigate accounting software to look up and maintain records of AP, AR and clientele. Capability to learn more dynamic input a plus.

The right person will:

Provide exceptional customer service by addressing concerns and resolving issues promptly and professionally.

Display exceptional communication skills, both written and verbal.

Have the ability to work well independently and collaborate effectively with team members.

Have a positive attitude, a sense of humor and get along well with others.

Live in or around Santa Barbara.

Previous experience in an office administrative or assistant role is highly preferred.

Basic understanding of plumbing or construction industry practices is advantageous.

We are looking for a trustworthy, DEPENDABLE, and easy-going person for this position - beginning as part-time with the potential to become full-time.

Working hours will be discussed. Mornings are preferred 8:00 am - 1:00 pm, we can offer flexibility here and there with good clear communication.
