Job Description

Job Title: Maintenance Stockroom Clerk / Inventory Specialist

Department: Maintenance

Reports To: Maintenance Manager

FLSA Status: Non-Exempt

Job Summary: The Maintenance Stockroom Clerk receives, stores, and distributes supplies according to requests; maintains inventory by checking shelves and reordering standard items as required; periodically running parts for the department and maintains and updates information regarding work and purchase orders. All tasks will be performed while supporting the policies, goals, and objectives of the company. The Maintenance Manager may assign other duties to be completed by the Maintenance Stockroom Clerk.

Essential Duties and Responsibilities include the following:

Maintains supply inventory; verifies inventory levels by checking shelves, notifies supervisor as to replacement

Orders, receives, and stores supplies in supply room.

Reviews incoming order forms for proper coding, quantities requested, and authorized approvals; inspects and verifies supplies received against invoice and packing slip; initiates requests for vendor corrections.

Locates stock and delivers requested items to authorized personnel.

Contacts approved vendors to reorder routine supplies; processes paperwork related to supply requests, including small purchase orders, purchase requisitions, and check requests.

Assist in updating and maintaining the Safety Data Sheets (SDS) associated with purchases of chemical products related to usage in the maintenance department.

Assist in keeping information updated with accuracy in the Manager’s Plus work order program.

o Generate, update, and maintain work and purchase orders in the system

o Review all orders for closing in the system.

o Assist in assignment of jobs to staff.

Ensures customer satisfaction and positive rapport with vendors.

Ensures proper care in the use and maintenance of equipment and supplies; promotes continuous improvement of workplace safety and environmental practices.

Performs clerical duties related to maintaining stock inventories; may operate a computer terminal and/or personal computer.

Essential Duties and Responsibilities include the following

Coordinate and plan in picking up parts at local vendors. Estimated 30% of each work day. Issue parts and equipment to work crews at start of day: receive checked out items at end of the day.

Receive shipments from vendors and update into the system.

Perform minor maintenance on hand tools and equipment

Self motivated and able to take initiative and work with minimum supervision

Assist in maintaining the restrooms clean and in order.

Wear appropriate PPE according to Standard Operating Procedures and job requirements

Ensure all work performed in accordance with safety policies and regulations to promote safety.

Perform various other duties as required which may include assisting other departments

Competencies

Ordering, receiving, storing and maintaining stock and supplies according to job requirements or inventory levels.

Locating stock and delivering requested items to personnel.

Reviewing order forms for accuracy, and verifying supplies received against invoice and packing slips;

Contacting approved vendors to reorder routine supplies and processes paperwork related to reorder requests.

Performs routine clerical duties in support of the maintenance department.

Education and/or Experience

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals, and product label and SDS sheets.

Ability to write, print, and interpret routine reports and correspondence.

Ability to speak, read write in English/ Bilingual will be a plus but not required.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, decimals, and percentages.
