We’re a private-pay in-home care company serving Contra Costa and Alameda counties. Our clients rely on consistent, high-quality care—and our caregivers rely on strong scheduling support. We’re hiring a Home Care Staffing Manager to own day-to-day staffing, scheduling, and coverage to ensure every shift is filled with the right caregiver.

The Role

The Home Care Staffing Manager is responsible for building schedules, matching caregivers to clients, filling open shifts quickly, and maintaining strong caregiver relationships to reduce call-outs and turnover. You’ll work closely with recruiting, care coordination, and leadership to keep operations running smoothly and clients happy.

Key Responsibilities

Manage daily scheduling for new and existing cases (ongoing and short-term coverage)

Match caregivers to clients based on skills, availability, location, and preferences

Fill open shifts fast using proactive outreach (calls/texts) and scheduling tools

Handle call-outs, late arrivals, emergencies, and same-day coverage needs

Maintain accurate caregiver availability, credentials, and schedule notes

Collaborate with recruiting to forecast needs and maintain a strong caregiver bench

Communicate clearly with clients/families regarding schedule updates and caregiver changes

Support caregiver engagement: check-ins, coaching, and accountability around reliability

Track and report staffing metrics (coverage rate, call-outs, overtime, time-to-fill, retention risks)

Ensure compliance with internal policies and any client-specific requirements

Qualifications

2+ years of home care scheduling/staffing experience (home care agency experience strongly preferred)

Proven ability to staff tough shifts (weekends, nights, short shifts) with a calm, solutions-first mindset

Excellent communication and conflict-resolution skills

Highly organized with strong attention to detail

Comfortable with high-volume calls/texting and rapid decision-making

Tech-friendly: scheduling software, spreadsheets, CRM/ATS tools

Bilingual (Spanish/English) is a plus
