Fast-growing dental office is seeking a FRONT OFFICE MANAGER for our San Francisco dental office. Responsibilities include scheduling and confirming patients, checking insurance eligibility, submitting and processing claims, assisting hygienists, presenting treatment to patients and much more. WHAT YOU WILL DO
- Patient Management
- Establish yourself as the first point of contact for the practice
- Greet each and every patient in a friendly and professional manner using their name when they both arrive and depart
- Consistently convey care and consideration for the patient's interests and allocated time
- Actively manage all patient communication across multiple platforms including phone, email, chat, and more
- Answer telephones in a timely manner with a courteous, helpful and professional demeanor
- Constantly monitor email communication during the day and respond as soon as conveniently possible
- Prioritize all patient and doctor requests based on need, time, emergency level and other allocation variables
- Update all patient information including, but not limited to, physical address, phone number, email address, insurance information, employer, and additional patient forms such as health history, HIPAA acknowledgement, etc.
- Lead new patient onboarding with forms, insurance info, welcome letters, follow-ups, etc
- Earn loyalty with every patient every day
- Ensure every single patient is a VIP
- Schedule Management
- Constantly review and monitor schedule to optimize availability
- Make it priority number one to fill all schedule gaps
- Maintain an open, on hold, recall and cancellation/TBD patient appointment list in order to maximize schedule output and office fluidity
- Run and regularly update patient recall database while testing new engagement techniques and tactics
- Office Support
- Turn on the office each morning by managing daily checklist and previous day facility requests
- Schedule and lead morning huddle incorporating daily schedule prioritization
- Assist hygienists with perio charting, operatory management and more
- Assist Financial & Insurance Coordinator with treatment accuracy, treatment plan follow-up, upselling and schedule timing and allocation
- Supervise affiliate doctor network regarding referrals, x-rays and additional outside specialist treatment requirements
- Print day sheets and manage file reference system
- Run requested reports on a daily/weekly/monthly/annual basis
- Work directly with the doctor to manage referral award recognition and overall office goal tracking
- Know and work toward set practice goals
- Assist others with their workload as time permits

- Proficient in practice management software programs, especially Dentrix, eServices, Patterson Imaging, ZocDoc, general office management software and more
- Strong intuition and understanding about patient and doctor interactions
- Previous dental office experience a definite plus
