Description Robert Half is seeking an Administrative Assistant for our client located in Commerce City. This is a contact to hire position where you will play a crucial role in ensuring the smooth operation of our client's customer service and invoicing processes. From answering phone calls and taking service requests to typing up invoices and handling data entry tasks, you will be responsible for a variety of administrative duties that are essential to our day-to-day operations.Responsibilities:

Answering phone calls and assisting customers with inquiries, including requests for reports and service-related questions. Peak call volume may occur during busy seasons, averaging 1-2 calls per hour, while slower periods (Jan - March) may see 2-3 calls throughout the day.

Taking down customer information, service issues, and location details, and forwarding them to the maintenance team for resolution. This includes completing a standard form or computerized entry.

Handling filing and scanning tasks to maintain organized records and documentation.

Typing up invoices - This involves processing technician paperwork into an Excel document and utilizing predefined templates for computing charges, adding lines, applying functions (e.g., Sum Function), checking tax calculations, and ensuring proper formatting.

Conducting data entry tasks, including reading handwritten job reports, correcting minor grammatical errors, and rewording content for clarity and presentation.

Providing support in forwarding emails to the appropriate recipients, with guidance on categorization and prioritization.

Requirements

Prior experience in a customer service and administrative role preferred.

Proficiency in Microsoft Excel for data entry and basic manipulation tasks.

Strong attention to detail and accuracy, particularly in handling invoices and customer information.

Excellent communication skills, both verbal and written.

Ability to multitask and prioritize tasks effectively in a fast-paced environment.

Willingness to learn and adapt to new processes and technologies.

Reliable and punctual with a strong work ethic.
