Position Summary

We are hiring a highly experienced Construction Office Manager to fully manage the office side of our construction business. This is an all-in-one role responsible for office operations, permitting, project coordination, marketing systems, design support, and material ordering.

This is not a receptionist position and not a contractor role. We are seeking someone who has previously worked in a construction company office and understands how all the moving parts come together.

Core Responsibilities (Single Role – All Inclusive)

Oversee all daily office operations

Handle permits, plan submittals, inspections, and coordination with city and county building departments

Communicate with inspectors, engineers, utilities, vendors, and suppliers

Maintain CompanyCam: keep photos organized, labeled, current, and usable

Coordinate photo and project updates to social media support and marketing channels

Help keep lead-generation platforms updated with photos and project info

Organize and prepare project packets, marketing materials, and client documents

Work directly with the Designer on plans, selections, and customer coordination

Assist clients with material selections when they visit the office

Order materials and track deliveries

Track job costing, invoices, draws, and basic financials

Assist with payroll processing and time tracking

Maintain organized digital and physical project files

Support ownership with reporting, organization, and process improvement

Required Experience & Traits

5+ years of construction office management experience (required)

Direct experience with permitting and building departments

Strong understanding of construction workflows from contract to close-out

Highly organized, self-directed, and accountable

Comfortable managing operations, marketing systems, and client coordination

Strong communication skills and professional presence

Tech-savvy and able to learn software quickly

Someone who takes ownership and follows things through to completion

Preferred (Not Required)

CompanyCam experience

QuickBooks, Houzz Pro, Buildertrend, JobNimbus, or similar

Payroll or construction accounting exposure

Design coordination or showroom experience

Marketing or lead-generation platform familiarity
