Position Title: Bookkeeper
Functional Group: Quality Assurance / Finance
Report To: CEO/President
PURPOSE OF POSITION: This position will undertake administrative and accounting tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator will include documentation management, procurement, and general bookkeeping.
MAJOR DUTIES AND RESPONSIBILITIES:
Coordinate office activities and operations to secure efficiency and compliance to company policies
Support Accounts Payable including purchase orders and supplier records maintenance
Manage phone calls and correspondence (e-mail, letters, packages etc.)
Support budgeting and bookkeeping procedures
Create and update records and databases with personnel, financial and other data
Track stocks of office supplies and place orders when necessary
Submit timely reports and prepare presentations/proposals as assigned
Maintain required business documents
Assistance with the annual budget and audit process
Maintain financial and quality document retention files
Supplier statement reconciliation and discrepancies
Deposit and cash reports
Prepare and/or review of all expense reports for accuracy and proper expense disclosure
EDUCATION / EXPERIENCE REQUIREMENTS:
Associate degree preferred
Minimum of 3-5 years of bookkeeping experience
OTHER QUALIFICATIONS:
Proficiency in Microsoft Office
Ability to prioritize and multi-task in a fast-paced work environment
Highly organized and detail oriented
Able to complete tasks accurately and timely with minimal supervision
Strong verbal and written communication skills
Thrives in a collaborative, team player office environment
Proven ability to maintain confidentiality
Preferred proficient in accounting software
