Position Summary
The Office Assistant will handle day-to-day office support and customer service. This will include answering phones, stocking office supplies, ordering miscellaneous supplies for the retail shop, coordinating technical support, aiding office management with a variety of tasks, and general retail customer service. The Office Assistant will support the Accounting Manager, Inventory Manager, and Delivery Dispatcher. This is a dynamic position that will perform a variety of miscellaneous tasks to keep a small office running smoothly day-to-day.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Purchase office supplies, employee uniforms, supplies for the break room, and other miscellaneous products to keep the retail shop stocked
Maintain all radios and train employees on proper usage and codes
Manage weekly delivery of bottled water and coffee for the break room
Work with the Accounting Manager to coordinate IT support as needed
Maintain cash drawer change
Assist the Accounting Manager with processing and sorting incoming mail, preparing and sending outgoing mail
Answer multi-line phone and direct calls to appropriate departments
Supplying excellent customer service which may include setting up deliveries, ringing up sales, and loading material
Answering phones and questions about current inventory and general nursery-related inquiries
Creating quotes and suggesting substitutions if necessary
Assists the Plant Purchasers with creating ID signage for plant material on the sales floor and ensuring they are kept up-to-date and organized
Ensures informative handouts and other office paperwork are stocked at all times
Assist the Delivery Dispatcher with delivery scheduling and payment
Coordinating with the Hardgoods Manager to bring backstock materials to the retail shop as needed
Managing a list of customer special requests and informing customers if their requested item arrives
Designing and placing promotional signage at designated locations on the property
May be required to assist with nursery tasks such as watering, pricing, stocking plants, etc.
Minimum Qualifications (Knowledge, Skills, and Abilities)
High School diploma required; Bachelor’s degree preferred
Some prior experience in an office environment required
Proficiency with MS Office products, including Word, Outlook, and Excel, required
Experience with a point-of-sale system, especially Quickbooks POS preferred
Experience with Quickbooks Desktop or Online preferred
Experience with multi-line phone systems preferred
Retail or customer service experience preferred
Knowledge of horticulture or gardening a plus
Physical Demands and Work Environment
This position is generally indoors in an office environment, but some outdoor work in various weather conditions may be required. Prolonged periods of sitting and working on a computer are required. May be required to lift and move nursery goods up to 50 lbs. It is a busy environment through the Summer, may have to perform some customer service support. There may be noise from machinery equipment and radios. It is a dynamic environment requiring associates to stay on task and be always available to customers.
