We are a process-oriented regulatory law firm poised for rapid growth. We are seeking an experienced professional who can take on a wide variety of responsibilities as our next Receptionist to support our team and ensure the smooth running of our office operations. To be successful in this position requires the right combination of task management and organizational skills, top communication abilities, research and writing skills, filing and data entry know-how, attention to details, confidence, humility, and an ability to follow instructions and meet deadlines.

We are a regulatory compliance law firm dedicated to fighting the toughest government battles, allowing our clients to maintain their primary focus. We counsel and defend companies worldwide who are engaged in the business of buying and selling goods from other countries (imports/exports), and provide other regulatory guidance for a variety of consumer products including tobacco and dietary supplements. Key Responsibilities:
In this role you will handle general office practicalities, manage client communications, and assist the staff with administrative tasks as needed. You will convey confidence in person and on the phone, demonstrating exceptional communication skills and an ability to develop rapport with prospective clients, current clients and referral sources. Working independently, you complete known daily tasks, whether administrative or client-related, and help support the team with the completion of theirs as needed.

Communication and Coordination:
Manage incoming and outgoing communications including emails, phone calls, mail
Handle web-based and phone leads, explain our process for working with our firm
Report and track calls/data from prospective new clients
Schedule consultations, conduct Introductory Calls and Welcome Meetings
Facilitate internal communication and promote a positive office environment
Office Administration:
Oversee general office operations and procedures to ensure organizational efficiency and effectiveness
Manage office supplies inventory and place orders as needed
Serve as the main point of contact for office-related inquiries and issues
Organize and maintain office filing systems, whether electronic and physical
Executive Support:
Assistance in coordinating travel arrangements for the Executive team
Prepare and edit correspondence, letters, memos, presentations and other materials
Handle confidential information with discretion and professionalism
This in-office position has a fixed daytime schedule of 8:30 am to 5:30 pm with no evening or weekend work required. Candidates meeting these core criteria who successfully demonstrate their value to the firm will receive an offer of employment at a starting pay rate of $48K per year plus a full benefits package, and will join a team-oriented, highly professional workplace where they can expect to grow and prepare for their professional future. 401K eligibility after being with the firm for one year.
Required Skills:
The ideal candidate for this role should possess:

Prior law firm experience, including executing the responsibilities stated above
Top-notch skills with MS Office 365 Suite and common social media platforms

Your Education and Background:
This is not an entry level position, nor is it a virtual or hybrid position. Prior law firm experience in an administrative capacity is a must and a BA degree is required from a US institution.
