Objective

Take charge of the financial management of our party rental business using tools like QuickBooks and Microsoft Office to ensure smooth and efficient operations.

Position Summary

We are seeking a full time highly motivated and detail-oriented Administrative Assistant with at least 2 years of experience in managing financial records, preparing financial statements, and performing various accounting tasks. Proficiency in accounting software, especially QuickBooks, and Microsoft Office is essential.

Key Responsibilities

Accounting & Bookkeeping:

o Manage accounts and bookkeeping using QuickBooks.

o Reconcile bank accounts, credit card accounts, and loan accounts.

o Classify and categorize financial transactions accurately.

o Maintain accurate financial records and ensure weekly cash flow management.

Tax Compliance:

o Track tax deadlines and ensure timely submission of returns and reports to regulatory authorities.

Cash Flow & Payments:

o Organize and schedule payments.

o Weekly cash flow report.

o Manage collections, including contacting clients to follow up on outstanding payments.

o Communicate effectively with vendors and suppliers to negotiate payment terms and schedules.

Administrative Support:

o Use Microsoft Office and QuickBooks tools for efficient organization and multitasking.

o Support daily operations with excellent time management and organizational skills.

Qualifications

Language Skills:

o Bilingual in English and Spanish (required).

Technical Skills:

o Proficiency in QuickBooks and Microsoft Office (Word, Excel, Outlook).

Soft Skills:

o Strong written and verbal communication abilities.

o Self-starter with excellent organizational skills.

o Ability to meet deadlines and thrive in a team-oriented environment.
