We are a Fort Lauderdale based Commercial Real Estate office looking for a Project Coordinator / Administrative Assistant to be based in our Little Haiti office in Miami.

The ideal candidate will be a team player, ready to jump in wherever needed. The successful candidate may be someone without the experience we are looking for but capable of learning and have good computer skills and an excellent attitude.

Responsibilities to include;

Assist with both the permitting process as well as general daily tasks required to successfully complete multiple projects at one time.

Establish and maintain a filing system ensuring documents are current and easily retrievable.

Assist with vendor relations, including but not limited to invoice processing, vendor set-up and resolution of vendor issues.

Organize and coordinate meetings, including with staff. You will prepare all pertinent materials for the meeting and be responsible for tracking the progress of action items.

You will communicate internally with Upper Management as well as vendors, service professional and clients.

Organize and manage the building permit process.

Regularly track the status of permits.

Assist senior staff as requested with general office administrative duties.

Maintain required project documentation.

You will coordinate all activities replated to the operations and planning of projects and be responsible for the disbursement of information to and from the Executive Offices.

You will handle highly confidential details.

Skills & Qualifications;

Proficient in Microsoft Office with a strong emphasis on Word, Outlook and Excel.

Ability to work in a team oriented, fast paced, dynamic and collaborative environment.

Must be well organized and have an attention to detail and accuracy.

Independent, self-motivated team player who is attracted to a small, collegial working environment.

Must be a quick learner and able to anticipate situations and the needs of Management staff members.

The ability to be proactive and handle simultaneous projects is exceptionally important.

Ability to keep sensitive material confidential.

Excellent verbal and written communication skills. The preferred Candidate will be comfortable with writing, reading contracts or have a high desire to learn to do so. This will include dispersing and preparing written reports and spreadsheets.

A high degree of discretion, judgment, tact and poise is imperative.

This position may be full time.

Fluency in Creole is preferred but not required.
