Job Summary:

We are looking for a bilingual (English/Spanish) Office Assistant to support customer service, estimating, invoicing, and administrative processes in our construction company. This role requires someone who is highly organized, proactive, and comfortable working with digital tools such as QuickBooks and Microsoft Office.

Customer Service Responsibilities:

Review and respond to emails, calls, and messages from prospective, new, and existing customers.

Assist with customer support inquiries and deliver a positive service experience.

Coordinate closely with clients and the estimator to ensure all requirements are met and estimates are completed without delays.

Prepare estimates using QuickBooks.

Create quotes in various formats as needed by the client.

Track and follow up on estimates sent to clients.

Issue and manage customer invoices.

Monitor pending estimates and invoices.

Schedule projects in collaboration with the Purchasing Department.

Generate a weekly job calendar with scheduled projects.

Follow up on residential and commercial projects, maintaining communication with the appropriate contacts.

Collaborate with the Accounting Department for follow-up on accounts receivable.

Receive and record customer payments in QuickBooks.

Promote showroom materials and manage customer follow-up.
