Official duties
Assisting the Director's with operational issues
Scheduling meetings and team building sessions as required.
Supporting and ensuring accounting and administrative documents circulation
Payment processing
Ensuring comfortable working conditions: organizing cleanliness and order in the office, maintaining equipment in good condition, purchasing and controlling the use of office supplies.
Organization of office work, receiving and processing mail, working with documents, keeping records of workflow.
Communication with clients and partners: managing phone calls, e-mail and visitors, maintaining relations with clients and partners.
Communications with banks and outsourcing companies, document collection for bookkeeping, payment calendar and payments processing through the bank system.
Organization of events: planning and coordinating internal and external events such as conferences, seminars and meetings.
Scheduling and coordinating appointments and makes arrangements for meetings, conferences and travel to ensure effective management of supervisor's/department's calendar, booking flights, cars, and making hotel and restaurant reservations.
Provide real-time scheduling support by booking appointments and preventing conflicts.
Assist with recruitment and onboarding processes
