Maintains the RW Access Database. Responsible for monitoring all data relating to client demographics, Purchase Order (PO) line items, billing and receipts. Liaison for Lead Agency for all phases of processing POs and PO Change forms including PO discrepancies and vendor issues. Process POs, enter PO line items into system, cross check monthly for accuracy, run monthly reports, enter numbers on account tracking spreadsheets, enter paid with check registers sent by Lead Agency biweekly, run outstanding authorization reports and correspond with vendors to assist them with rebilling or determine when voids need to be done, process voids, assist case managers with PO and PO Void/Change Form parameter compliance. Maintain and distribute RW Vendor Budget to Case Managers. Analyze spending trends and make recommendations to RW CM Supervisor on the progress of weekly, monthly, and quarterly spending. Balance account with check registers generated by the Lead Agency for payments to vendors. Make changes to the budget as stipulated by the Lead Agency. Report to supervisors about budgetary recommendations, statistical data issues, discrepancies found in data. Process check registers sent by Lead Agency by entering into database, pull POs and mark paid, determine discounted prices and funnel monies back into the case managers’ budgets, determine discrepancies and resolve issues with Lead Agency, file chronologically by date. Create Excel Spreadsheets, Word documents, Access queries and reports. Assist co-workers with technical support. Take and prepare for distribution Ryan White and HIV staff meeting minutes. Maintain filing system for RW Fiscal records, Check Registers, and POs containing client data in a secure manner to protect confidentiality. Prepare files for storage according to State Record Retention guidelines. Perform QI and scan charts as needed. Purchase Requester for Ryan White, HIV and STD programs. Create requisitions using Ariba for the MFMP purchases and enter receiving data upon receipt of items. Distribute supplies to offices. Monitor supply needs. Research products, comparison shop, and correspond with vendors when needed. Check MFMP daily. Verify that Ryan White is payer of last resort on client lab invoices. Performs other related duties and projects as assigned by supervisor, including items below. Responsible for securing the designated information sets to protect confidentiality, data integrity, and appropriate access, for all information, both confidential and public record, which is stored in hard copy or electronic formats. Experience With invoicing, PO’s and distribution of supplies. Preferred – Experience working in a medical office or with STD/HIV.
