POSITION DESCRIPTION: Oversees the operation of the warehouse, the inspection and receipt of all materials, and distribution of supplies. Receives and processes purchase requests from department staff for materials, supplies and/or equipment not listed in the warehouse inventory. Obtains quotes from ARIBA (e-Procurement requisition) system and/or local vendors for materials, supplies and/or equipment requested by department staff. Has vendor invoice/warrant processing responsibility for the timely and accurate processing of payments. Establishes reorder points for commodities to maintain adequate inventory at all times. Establish minimum quantity level for critical commodities and add to reorder points for maintaining critical commodities.
Coordinates the issuance of materials and supplies to approved department personnel and obtains appropriate signatures as required to perform maintenance and/or construction functions. Processes issue tickets through the Materials and Supply Inventory (MSI) System on a daily basis. Maintains accurate files and records of goods issued. Coordinates the issuance of materials to other sections as well as outside contractors engaged by the department to perform maintenance and/or construction functions.
Develops warehouse reports and documents necessary to monitor and maintain warehouse operations at an optimum level. Periodically performs physical inventory checks of randomly chosen commodities to check between Material Supply Inventory and actual shelf count as directed by department regulations; Makes adjustments in accordance with procedures.
Assists in the care and maintenance of the storerooms, supplies and equipment. Assists in organizing the warehouse for maximum efficient utilization of space. May operate a forklift as required in relocating and stocking of warehouse materials.
Coordinates the stocking, loading, and unloading of stock, as well as cleanup of the facility. Schedules inmates for warehouse clean-up including mopping, stocking, relocation of pallets of roadway materials, etc. Oversee all the filing of purchasing card invoices, tickets, quotes, 200 count reports, Monthly Ledger reports and tracking of all of the inventory.
Records Management and Property Inventory Tracking via various management systems, i.e., Records Retention and Destruction to ensure compliance with department procedures. Uses a variety of software applications, databases, and office equipment to accomplish assigned tasks.
Enters and maintains records of work orders in Florida Electronic Equipment Tracking (FLEET) System using the correct coding and description for each repair. Communicates and coordinates with the auto shop personnel to ensure accuracy of work order data. Ensures all work orders are opened and closed in a timely manner. Tracks vehicle downtime and ensures work order system reflects actual vehicle status.
Assists with purchasing parts and shop supplies as P-Card holder and is accountable for proper processing of invoices and completion of required paperwork and work orders.
Ensures on-site fuel pumps are operating at all times. Coordinates the repair of fuel pumps, monitors fuel supply levels and maintains daily records of all gas/diesel readings in the Fuel Inventory Program. Changes the fuel pump receipt tape paper rolls as needed.
Assist in Emergency Operation Recovery Efforts.
KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of warehouse management, i.e., purchasing, receiving, distribution and/or storing of equipment to stockrooms, warehouses, or storage yards. Knowledge of procurement of commodities. Skilled in records, files, and inventory management. Skill in reading, understanding, and applying applicable rules, regulations, policies, and procedures. Ability to manage, analyze and coordinate the issuing of materials, equipment, and other items from warehouse. Ability to plan, coordinate, complete and track the status of assignments. Ability to follow oral and written instructions. Ability to communicate effectively orally and in writing. Ability to establish and maintain effective working relationships with others. Ability to listen to and understand the needs of internal and external customers. Ability to collect information/data and review for accuracy and completeness. Ability to use office equipment, Microsoft software applications, and databases. Ability to compile inventory and materials distribution reports. Ability to operate a forklift. Ability to lift to 50 pounds. Ability to coordinate the redistribution of materials.
OTHER JOB RELATED REQUIREMENTS: Responsible for adhering to the provisions and requirements of Section 215.422, F.S., related State Comptroller's rules, and Department of Transportation's invoice processing and warrant distribution procedures. Utilizes business plans as an integral part of daily work activities in support of the Department's/Unit Plans to accomplish the mission of the Department. On an as needed basis may be required during periods of emergency and/or disaster recovery upon request by appropriate authority, to work beyond established work schedule at night and/or state-wide, including weekends. Overnight travel may be required for statewide meetings, training, conferences, or seminars.
