About the Position:
We are seeking a highly organized and detail-oriented Office Administrator with strong bookkeeping skills and experience in the construction industry. The ideal candidate will be proficient in QuickBooks, familiar with permitting processes, and comfortable managing administrative tasks in a fast-paced environment. This is a remote position, though occasional communication during regular business hours is required.
Key Responsibilities:
Manage day-to-day office operations remotely
Perform bookkeeping duties including A/P, A/R, bank reconciliations, and expense tracking using QuickBooks
Prepare and submit permit applications; coordinate with municipalities and clients to ensure timely approvals
Maintain accurate digital records, documents, and project files
Assist with project scheduling, subcontractor coordination, and general administrative support
Prepare reports, invoices, and other business documentation as needed
Communicate with vendors, clients, and team members professionally and promptly
Qualifications:
bookkeeping experience (QuickBooks required)
Experience in the construction industry (understanding workflows, terminology, project coordination)
Permitting experience with city/county/state agencies
Strong organizational and time-management skills
Ability to work independently in a remote environment
Excellent communication skills (written and verbal)
Proficiency in Microsoft Office
Familiarity with lien releases, insurance certificates, or compliance documents
Knowledge of estimating or job-costing
