Registrar's Office Data and Systems Specialist Posting Number S01330JP Department Registrar Job Summary The Registrar’s Office Data and Systems Specialist participates as a member of a team within the Office of the Registrar, engaging with virtually all of the office’s processes in support of the office’s mission to create, maintain, and protect the academic records of current and former students. This role’s primary responsibilities are related to managing reporting for campus constituents, maintaining the degree progress system, maintaining the integrity of the data and its input as it relates to course and student information.Essential Functions:

Develop comprehensive knowledge of existing Student Information System functionality and data, its relationships and functions within the Student, Faculty, and Staff domains. Input, process, and verify data associated with students and College courses. This includes taking primary responsibility for: 1) maintaining system functionality related to degree progress by performing technical tasks such configuring academic requirements; 2) running the AP test scores inbound Workday integration and supporting legacy processes for this and other data loads; 3) ensuring that system user documentation such as job aids and reference guides is continually maintained and up to date.

Serve as the primary point of contact in the Registrar’s Office for data requests and develop reports using SQL , Cognos, or Workday while adhering to established reporting standards and processes. Develop a close, collaborative, and ongoing working relationship with Institutional Research, Analytics, and Consulting and participate regularly in enterprise reporting meetings. Provide customer service and training to campus constituents about where they can access data that is commonly available. Develop comprehensive knowledge of Workday Student business objects and data sources as well as a working knowledge of historical data elements migrated to a new SQL Server data back up solution to support historical reporting as needed.

In partnership with Associate Registrar for Technology and IT liaison, serve as a back up liaison with IT and develop a collaborative working relationship with Information Technology (IT) personnel.1) Periodically attend IT meetings as a delegate to ensure RO needs are communicated and coordinated within the context of IT activities and projects. 2) Participate as a back up application administrator to support the management of user access to authorized domains and business objects, assist with business process troubleshooting and routine system testing. This includes accessing the Bowdoin Workday Support ticketing system (Team Dynamix), accessing assigned tickets, and resolving support requests from students, faculty, and staff with a customer service-oriented attitude.

The hiring range for this position is expected to be: $65,000 – $72,000.

Education/Skills Requirements

Bachelor’s degree or equivalent combination of experience.

Strong technical and analytical skills with a focus on data integrity and security.

Excellent problem-solving abilities and attention to detail.

Ability to work collaboratively in a team environment and communicate effectively with both technical and non-technical stakeholders.

Advanced Excel and Word skills, as well as experience with Office 365 are necessary.

Preferred:

Individual should learn degree progress, reporting systems, systems associated with student and academic data

Banner Student, Canvas, Courseleaf, Qualtrics, SQL and/or PL/ SQL , Workday.

Experience Requirements and/or Equivalents

At least 3-5 years of experience managing complex data systems

Understanding of complex data sets and how to build and maintain reports using that data.

Experience with data systems, multiple data/reporting tools, and familiarity with data warehousing.

Individual should be able to collaborate with constituencies across campus to support information needs, including clear, precise communication and flexibility to adjust as needs change.

Demonstrate a willingness and ability to learn and quickly adapt to new technologies, business processes, and procedures; the willingness to contribute to any office process during periods of peak demand.

Abide by FERPA and other policies related to confidentiality of data and records.

Preferred:

Bowdoin is moving to Workday Student so prior experience is highly preferred.

Experience with Ellucian Banner Student administration, SQL and/or PL/ SQL , Toad, ODS , Cognos, DegreeWorks, Workflow, and/or content management tools.

Standard Work Days and Hours

This position is full-time, year round working Monday – Friday, 8:30 am – 5:00 pm with occasional evening or weekends as required.

Opportunity to work a hybrid schedule with 2 days per week required in the office on campus.
