Legal Secretary/Paralegal job duties
1) Answer all phone calls and route to appropriate person
2) Possible Intake (gather information on possible new clients and schedule on calendar OR coordinate intake and scheduling with attorney’s paralegal to perform)
3) Court runs
4) Send out mail, open mail and possible scanning of documents
5) Greet all in-person contacts
6) possible e-filing on JEFs or in person filing.
7) Other administrative type duties may include send out fee agreements (paralegal may task receptionist to do that), rescheduling appointments, confirming appointments, reminding clients of next day court hearing, etc.
8) Following up on payments, payment plans and sending out checks to 3rd party vendors such as process servers, court reporters, etc. Inputing expenses.
9)Drafting close out letters and closing out client files at the end of each month after billing is done. Moving closed files out of active files and scheduling for shredding.
10) Creating hard files once client has retained and then passing over to the appropriate paralegal for further handling.
11) Returning voicemails and following up on contact emails from the website.
