Responsibilities are as follows:
Correspondence & correspondence log
Assist with invoices (backup documents, client coordination)
Travel coordination & maintain travel schedule
Assist with contract management and coordinate with subcontractors representatives
Arrange meetings and coordinate meeting schedule
Prepare general memos or letters as required
QA coordination, maintain correspondence template and format
Review outgoing correspondence for correctness, completeness
Maintain staff vacation calendar
Schedule appointments/meetings
Mail distribution (Email point of contact for the client)
Company vehicles related tasks (insurance, registration, parking lease, etc.)
Maintain office equipment (printer, copier) and supply order
Any other administrative tasks as deemed required by Management
Skills:
Knowledge of general office procedure
Microsoft office (i.e. Word, Excel, Outlook, Sharepoint, etc.)
Organizational skills and attention to detail
Ability to work on own initiative and meet deadlines
Ability to manage pressure and conflicting demands and prioritize tasks and workload
Ability to accept instructions
Discretion and respect for confidentiality
Team working ability
3+ years of experience working in professional office environment
