As an Administrative Assistant, you will play a crucial role in supporting our engineering team. You’ll be the backbone of our administrative processes, ensuring efficiency and effectiveness.

Responsibilities:

Office Management:

- Greet visitors, answer phone calls, and manage incoming/outgoing mail.

- Maintain office supplies, equipment, and cleanliness.

- Coordinate meetings, conferences, and travel arrangements for team members.

Document Management:

- Assist with drafting, formatting, and proofreading documents, reports, and presentations.

- Manage digital and physical filing systems.

- Maintain confidentiality of sensitive information.

Calendar Coordination:

- Schedule appointments, meetings, and project deadlines.

- Remind team members of upcoming events.

Communication:

- Liaise with clients, vendors, and internal staff.

- Handle email correspondence and inquiries.

Data Entry and Record Keeping:

- Timesheet entry

- Bill entry

- Update databases and records accurately.

- Prepare expense reports and track invoices

- Invoice creation

Qualifications:

- Education: High school diploma or equivalent; additional certifications in office administration preferred.

Experience:

- Minimum 2 years of administrative experience, preferably in an engineering or technical environment.

- Proficiency in Quickbooks

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Skills:

- Excellent organizational and time management skills.

- Strong attention to detail.

- Effective communication (both written and verbal).

- Ability to multitask and prioritize.
