Organization, flexibility, ability to multi-task, meet deadlines and work as part of a team is a must for this position. Must exhibit well-developed communications and reading skills along with a high-reasoning ability. Proactively provides customers, colleagues and employees with an excellent first impression in a cheerful manner. Handles regular tasks and special requests as needed with a high attention to detail. Must maintain a strong level of confidentiality, professionalism, initiative, and good judgement. Works under minimal supervision.ESSENTIAL DUTIES AND RESPONSIBILITIES (the essential duties of this position may include, but are not limited to, the following):Greets customers and vendors to the department in person, over the phone and via e-communications; establishes a quality customer experience through a courteous attitude and professional appearance.Clerical and organizational assistance of department correspondence, handling mail, scanning, and other administrative duties.Answer incoming phone calls and transfer to the appropriate person; own the phone call and make sure the customer is taken care of.Support processes and assist in preparation of documents to support business activities.Support scheduled meetings (i.e. attendance, AV, catering, materials) for assigned Senior Leaders.Operate PC using one or more software programs to generate documents, coordinate meetings, conferences, presentations, travel arrangements, and perform other routine administrative work.Organize and coordinate department functions as requested.Order and maintain supplies; arrange for equipment maintenance.Create spreadsheets and charts, PowerPoint presentations, visual representations and diagrams, using both data and graphics, for internal & external distribution.Research and preparation of reports.Prepare expense reports, process invoices and manage other required documentation.Perform other duties as assigned.QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The position requires flexibility, as priorities change and as needs arise to assist other department colleagues. Strong organizational skills and attention-to-detail are required.LANGUAGE SKILLSAbility to read and comprehend simple instructions, short correspondence, and memos. Ability to effectively present information in one-on-one and small group situations to clients, and other employees of the organization.
