Job Summary The Psychiatric Front Office Patient Care Coordinator is a key member of our team, responsible for managing front office operations and ensuring a seamless experience for patients. This role combines clerical duties with direct patient interaction to support the overall functioning of the psychiatric practice.

Key Responsibilities

Patient Interaction:

Greet and check in patients in a warm and professional manner.

Verify patient information and update records as necessary.

Schedule and confirm patient appointments, including follow-up visits and referrals.

Answer patient inquiries via phone, email, and in person, providing accurate information about services, policies, and procedures.

Administrative Duties:

Manage patient intake processes, including completing necessary documentation and obtaining consent forms.

Gather patient insurance plan information.

Process and file patient records in compliance with confidentiality and privacy regulations (e.g., HIPAA).

Prepare and maintain daily schedules for clinicians, ensuring optimal time management and minimizing patient wait times.

Billing and Insurance:

Collect payments and issuing receipts.

Direct billing inquiries to the Practice Manager.

Office Management:

Maintain a clean, organized, and welcoming front office environment.

Order and manage office supplies and equipment.

Patient Care Coordination and Communication:

Serve as a liaison between patients and clinical staff to facilitate effective communication.

Coordinate with external service providers and agencies as needed.

Compliance and Confidentiality:

Ensure compliance with all relevant healthcare regulations and standards.

Protect patient confidentiality and handle sensitive information with discretion.

Qualifications

Education: High school diploma or equivalent required; Associate’s degree or higher in healthcare administration or related field preferred.

Experience: Some medical or psychiatric office experience preferred.

Skills:

Excellent interpersonal and communication skills.

Strong organizational abilities and attention to detail.

Proficient in using office software and electronic health records (EHR) systems.

Ability to manage multiple tasks and work effectively in a fast-paced environment.

Knowledge of insurance procedures and billing practices.
