BACKGROUND
In 1948, the sons of Joseph and Carmela Stavola founded Stavola Contracting Co., the first Stavola Company. Today, Stavola Companies remain a family-owned and operated business, consisting of four major divisions: Asphalt and Recycling Materials, Construction Materials, Contracting (heavy highway construction) and Real Estate, all located in New Jersey. What started as a company offering basement excavation and driveway paving now has 3 quarries in NJ, 2 quarries in PA, 9 asphalt plants, 3 recycling centers, and several gravel mining operations.
SUMMARY/OBJECTIVE
This position will support all aspects and stages of the contract life cycle for our government and commercial customers in accordance with company policies, customer and contract obligations, and legal requirements. Perform as point-of-contact for all contract related matters.
ESSENTIAL FUNCTIONS
Prepare bids in bidding software for estimator. Create, review and track quote requests for potential subcontractors.
Enter data supplied by the Estimator.
Obtain required bonds, insurance certificates, and material certifications.
Complete monthly EEO reports for all projects.
Prepare and obtain subcontractor contracts and necessary documents for subcontractor approval.
Prepare and submit numerous supplemental government forms as required.
Assist Safety Director with the preparation and submission of safety manual for each project
Assist setting-up jobsite offices.
Prepare and submit renewal applications for NJDOT/NJTA classification, Public Works certification, Employee
Information Certificate, and Pay to Play reports.
Submit daily and weekly Traffic Impact and Material Inspection requests.
Discuss contract-related issue resolutions, both internally and externally.
Ensure timely electronic delivery of all bid submissions. Paper submissions need to be timely prepared and ready
for the Project Manager to deliver.
Review and process project closeout documentation, extension, or renewal, as appropriate.
Manage record keeping for all contract-related correspondence and documentation.
Arrange attendance and registration for industry functions and seminars.
REQUIREMENTS
1 – 3 years’ experience in contract administration or similar administrative role
1+ years data entry experience preferred but not required
Good verbal and written communication skills
General computer knowledge
Detailed oriented
Ability to multi-task
Ability to prioritize and meet deadlines
Excellent time management and organizational skills
Able to communicate effectively with government agencies, subcontractors, customers, employees, and
management.
EDUCATION
High school diploma, GED or equivalent
